Frequently Asked Questions

The auction is the largest fundraising event for the Kimberlin Academy for Excellence PTA. Kimberlin is a public magnet school in the GISD school district. The PTA is a 501c3 non-profit organization that supports the school through volunteer hours, financial donations and donations of physical items.

Anyone may participate in the auction! The only requirement is that you are a family member, parent, faculty, staff member, friend or neighbor of a Kimberlin student. Basically we ask that you have some connection to a Kimberlin student. It’s kind of like the six degrees of separation game. 

You’ll need to register for an account here. Once you register, our auction administrator will need to approve your registration (this can take up to 12 hours but is usually completed much faster). Once approved, you’re all set. Log into the site, browse the auction items and bid away!

Each item in the auction has a designated starting bid and a set bid increment by which a bid must be increased. With a proxy bid, you can enter the largest amount you are willing to pay for an item and the auction system will bid on your beahlf in the set increment amounts until your highest bid amount is reached.  If the auction amount exceeds your highest bid amount and you still want to try for an item, you will need to place another bid. 

EXAMPLE

Current Bid on Item = $5.00

Bid Increment = $2.00

Max Amount You Want to Pay = $50.00

You Bid $50 and no one else has bid. The system will set your initial bid at $7.00 then as more people bid, it will increase your bid automatically by $2.00 to make sure you are always winning until bidding reaches $52.00. At that point, if you want to continue, you would need to place a new bid on the item. 

There is an auction dashboard that allows you to “watch” auction items and keep track of them and allows you to see the items on which you’ve placed bids. You’ll need to be logged in to access the dashboard. You can access it here.

There are some items (typically Kimberlin Experiences) that could have more than one winner. If that is the case, the auction will be noted with a number of the top bidders that will win, such as “top 5 bidders.” In this instance, we will ask the top bidder how many “slots” they want (in case they have multiple children) and then move to the next highest bidder. We will go down the line until all 5 slots are filled. Each bidder will pay the top amount that they personally bid per slot. 

Items will be available for pickup at Kimberlin Academy for Excellence on April 25th during our open house from 6:00pm-8:00pm. If you cannot make it that evening to pickup your items, please either make arrangements for someone to pickup the items for you (send them with your winning email confirmation) or contact us directly to make alternate arrangements.

Because we have a PTA sales tax holiday on April 25th, pickup must occur on this date in order to avoid having to pay sales tax. 

If you are the lucky winner of one of the auctions, you will receive an email with a link to make payment online via credit card. This email is usually sent within 15 minutes of the auction ending. If you do not receive your email with instructions. Please contact us here. Please note that in order to avoid having to pay sales tax on items won, payment must be received by 2:00pm on April 25th, 2019. 

Some items in the auction have reserve prices. These are prices that the bidding must surpass in order for the item to sell. There will be a notation on the item if the reserve price is not yet met. 

If you are out of the area and need shipping for a physical item you have won, please contact us prior to bidding to discuss. This may be possible, at your expense. We would arrange for the UPS store to package and ship your item.

The Kimberlin Academy PTA Board has an auction committee that is in charge of producing and running the auction. The committee procures donations, facilitates and coordinates the donations and manages the auction website. 

Winspire is our auction partner for the Signature Travel Experiences offered in the auction. They coordinate and book the travel for the winning bidder of those experiences. These experiences are sold by Winspire and provided on consignment to the PTA.
